Troubleshooting rarely starts with the real problem

When an OEM receives a service ticket from a customer site, the process usually begins with a simple question: what exactly happened?

In theory, that should be the starting point for analysis. In practice, it is usually the starting point for a search.

A service engineer has to identify the right machine, retrieve the latest logs, check the relevant process data, confirm the configuration, and often verify software versions or recent interventions. Only once that information is brought together does the first useful picture begin to emerge.

So while troubleshooting is supposed to be about finding the cause, it often begins with something much more basic: collecting context.

The hidden workload in service

That context-gathering phase is easy to overlook because it has become such a normal part of service work. Engineers are used to switching between systems, pulling files, checking tags, comparing timestamps, and piecing together fragments of information from different sources.

But if you step back, the pattern is clear. A large part of service time is often spent not on understanding the issue, but on finding the data needed to understand it.

That is rarely because engineers are working inefficiently. The real issue is structural. The information they need is usually spread across multiple systems that were never designed to support one coherent investigation.

Asset data may sit in ERP or a service platform. Operational data may live in a historian or IoT tool. Alarms may be stored elsewhere. Configuration data may come from engineering systems. Some critical logs may still be available only locally on the machine.

Before an engineer can analyze the problem, they first have to rebuild the context around it.

Why fragmented data slows everything down

That fragmentation has an immediate effect on speed. Every extra step adds delay. Every manual check introduces friction. Every missing link between systems forces the engineer to interpret rather than investigate.

And that matters, because troubleshooting is rarely just about technical expertise. It is also about how quickly someone can get to a reliable starting point.

If engineers need to spend a large share of their time locating data, aligning timestamps, and confirming which configuration was active, analysis becomes slower by design. The real work starts too late.

In many organizations, this hidden search phase consumes a surprisingly large part of the total effort. Even without putting an exact number on it, it is clear that too much service capacity disappears before root cause analysis has even begun.

The cost is bigger than lost time

At first glance, this may look like a productivity issue. Engineers lose time, tickets stay open longer, and response times increase.

But the impact goes further than that.

When it takes too long to build context, teams are more likely to fall back on fast, pragmatic fixes. A component is replaced. A setting is adjusted. A patch is installed. The machine runs again, and the immediate problem appears solved.

But if the underlying cause is only partly understood, the same failure often returns in a slightly different form.

That means data fragmentation does not just slow service down. It also limits how much the organization learns from incidents. Problems get resolved, but not always truly understood.

Over time, that weakens the ability to improve machine design, optimize service processes, and identify recurring patterns across the installed base.

Why this gets harder as the installed base grows

The problem becomes more serious as OEMs scale. A small installed base can often still be managed through experience and manual routines. Engineers know the machines, know where to look, and know which systems matter.

But as more machines are deployed across more sites, complexity rises quickly.

Different customers may run different configurations. Machines may have different software versions, sensor setups, operating conditions, or product mixes. What looked manageable at small scale starts to become difficult to repeat consistently.

At that point, finding the right data is no longer an occasional inconvenience. It becomes a structural bottleneck in the service model.

Every investigation starts with the same effort: finding out what machine is involved, what state it was in, and which events led up to the issue.

What changes when context is organized around the asset

A more scalable approach starts with a different principle. Instead of organizing data by source system, the data is organized around the asset itself.

That means the machine becomes the central reference point. Sensor values, alarms, software versions, maintenance history, and configuration data remain linked to that same asset. Events are not stored as isolated records in separate tools, but as part of one broader operational context.

For the engineer, that changes the workflow completely.

Instead of opening multiple systems to assemble a timeline, they can begin with the machine and immediately see the relevant events around it. The question is no longer “Where can I find the data?” but “What does this chain of events mean?”

That shift sounds simple, but it fundamentally changes the speed and quality of troubleshooting.

From searching to understanding

When context is already available, engineers can spend more of their time on actual analysis. They can compare incidents more consistently, identify patterns more quickly, and build stronger root cause hypotheses.

That does not just improve individual service cases. It improves the organization’s ability to learn across the entire installed base.

Troubleshooting becomes less reactive and more systematic. Service teams stop acting mainly as data gatherers and can focus on interpretation, diagnosis, and improvement.

The role of Capture
